If you're a designer, architect, or facility manager specifying Visual Comfort fixtures for a commercial project, this is for you. We're talking about the Mollino sconces for a hotel lobby, the Foxdale chandeliers for a restaurant, or the Hampton ceiling fans for a multifamily common area.
I put together this checklist based on what I review before every shipment leaves our facility—roughly 200+ unique fixtures a year. It's the same process we use for a single $1,200 pendant as for a $45,000 custom linear chandelier order.
There are seven steps. Skip one, and you're rolling the dice.
Step 1: Verify the spec sheet against the purchase order
This sounds obvious. You'd be surprised how often it's not done.
I start with the spec sheet Visual Comfort provides for the fixture and check it against the purchase order. Not the invoice—the original PO.
What I look for:
- Fixture model number matches exactly (e.g., VC-3450-BR vs VC-3450-CH). The suffix matters—it's the finish code.
- Wattage and voltage match what the electrical drawings call for. I've seen a 60W max fixture specified where the space needed 100W output.
- Mounting type (flush, semi-flush, pendants with specific ceiling mount plates for sloped ceilings).
- Dimmability—if the project calls for Lutron or Crestron integration, the driver compatibility has to be confirmed before we go further.
In Q1 2024, we received a batch of 18 Etoile chandeliers where the spec sheet said '120V input' but the actual driver was rated for 277V. Normal tolerance is maybe a 10% range on voltage. This was off by over 100%. The vendor claimed the spec sheet was 'updated' but the PO referenced the old version. We rejected the entire shipment. The redo cost them $8,200 in shipping and labor. The root cause: someone didn't check the driver spec against the PO.
Tip: If your project uses a voltage other than 120V—many commercial spaces run 277V for lighting—make sure it's written into the PO line item. Otherwise, the standard spec applies.
Step 2: Inspect the finish against the physical standard
Finish is where most specification errors happen. Not quality problems—specification errors. The spec says 'brushed brass' but what arrives looks more like 'polished brass.' The difference matters when you have 24 sconces lining a hallway and the finish inconsistency is noticeable at 20 feet.
What I check:
- Color and reflectivity against the Visual Comfort finish card. I keep a physical set of finish swatches in my office. (Not a digital image—lighting in photos is deceptive.)
- Evenness across multiple units of the same model. For a Roark chandelier, the finish on the exposed brass arms should match from unit to unit within the same production run.
- For plated finishes (polished nickel, chrome): check for pitting, clouding, or thin spots. These show up as shadows under direct light.
- For painted finishes (matte black, white): check for orange peel texture, runs, or overspray. I've rejected a batch of 12 Hampton ceiling fans because the white paint had a visible texture difference between two production lots.
Here's something vendors won't tell you: finish tolerance is wider than most designers assume. Visual Comfort's published tolerance is ±15% on color match. But for a high-end commercial install, you're better off specifying +5% or better in your contract—and paying for the extra inspection. On a 50-unit order, that might add $300-500 to the QC cost. Compare that to the cost of replacing 50 fixtures after install.
Step 3: Check the glass and crystal quality
For chandeliers with crystal (like the Laguna or Etoile lines) or glass shades (like the Mollino or Foxdale collections), this is the step that separates an acceptable fixture from a premium one.
What I do:
- Hold each crystal or glass element up to a 3000K light source. I'm looking for bubbles, inclusions, or uneven thickness. Yes, hand-blown glass will have some variation—that's part of the appeal. But there's a difference between 'artisanal character' and 'manufacturing defect.'
- For crystal: check the cut quality. Sharp edges on the prism faces mean better light refraction. Dull edges mean cheap crystal. If you're paying for Swarovski or K9 crystal, this matters.
- Check for color: 'clear' crystal should be colorless. A yellowish tint indicates lower lead content. For alabaster shades, the veining pattern should be consistent within the same fixture—mixing heavily veined with light veined pieces on the same chandelier looks unbalanced.
People think expensive fixtures have better materials because of the brand name. Actually, the brand name comes with better inspection standards. The raw materials might only cost 20% more, but the rejection rate for crystal is higher. What I mean is: you're paying for the assurance that the piece that passes inspection is good. Not for the material itself.
Step 4: Test the electrical components
This is where we move from aesthetics to function. Every fixture gets tested before it's approved. Not a sample—every unit.
The test sequence:
- Socket continuity: Check each socket for proper wiring. Loose connections are the #1 cause of flickering in chandeliers after install.
- Ground verification: Measure resistance between the ground wire and the fixture body. Should be less than 0.5 ohms. Anything higher means the grounding path is compromised.
- Driver output (for LED fixtures): Measure actual output voltage and current against spec. An LED driver rated for 700mA that delivers 650mA will cause dimming issues. One that delivers 750mA will shorten the LED lifespan.
- Heat soak test: Run the fixture at full brightness for 30 minutes. Then check temperature at the driver housing and any enclosed areas. I've seen LED drivers fail because they were installed in a fully enclosed canopy with no ventilation—even though the driver itself was rated correctly.
One thing that surprised me early in my career: a 'dimmable' LED fixture doesn't mean it dims well with your dimmer. The assumption is that if a fixture says 'dimmable,' it works with any dimmer. The reality is compatibility depends on the driver-dimmer combination. A fixture that dims smoothly on a Lutron Caseta might flicker on an older Leviton rotary dimmer. We now test every LED fixture for our projects with the specified dimmer model. (That test added maybe 10 minutes per fixture. Saved us from a $14,000 redo last year when we caught an incompatibility before install.)
Step 5: Verify the mounting hardware is complete (and correct)
This step sounds boring. It's the one that causes the most field delays.
I check:
- All mounting brackets are present and match the ceiling type. (I've seen a fixture shipped with a bracket for a standard junction box when the site had an old octagonal box.)
- Fasteners are included: screws, washers, lock nuts. And I mean the right ones—not a bag of 'assorted hardware.'
- For heavy chandeliers: verify the canopy and chain assembly are rated for the fixture weight. A 40lb chandelier needs a 50lb rated canopy. I've seen a canopy rated for 30lb with a 35lb fixture.
- For sloped ceilings: confirm the mounting kit includes a swivel or adaptor. Not all fixtures ship with one by default.
(which, honestly, feels like the most basic thing to get right—and yet it's the #1 reason our installers have to make unplanned trips back to the supply house.)
Step 6: Cross-check the UL/ETL listing
For commercial projects, this isn't optional. Most building codes require UL or ETL listing for lighting fixtures. But not all fixtures sold by Visual Comfort are UL listed—some are intended for 'decorative use' in residential settings.
What I verify:
- The fixture has a valid UL or ETL marking on the body (not just on the packaging).
- The listing is current—some old stock fixtures may have been listed under a previous standard that's been superceded.
- The listing covers the intended use—a fixture listed for 'damp locations' can't be installed outdoors in Seattle. It needs 'wet location' listing for exterior use.
Per UL 1598 (the standard for luminaires), fixtures must be marked with their location rating. If we're specifying a Foxdale outdoor lantern for a building entry in Portland, I confirm the listing says 'Wet Location'—not just 'Damp Location.' The difference matters for insurance and code compliance.
Step 7: Do a final 'as-built' comparison
This is the step I added after a costly mistake early in my career.
I take the approved submittal drawing—the one the architect signed off on—and set the actual fixture next to it. I compare:
- Overall dimensions: does the chandelier's width match the drawing? (I've seen a 36" wide fixture approved on a submittal, then a 42" version shipped because the factory 'updated the design.')
- Canopy size: is it consistent with the reflected ceiling plan? A canopy that's 2" wider than specified can overlap adjacent ceiling elements.
- Hanging height: adjustable within a range, but the minimum and maximum should match the spec. For a linear chandelier over a 12-foot conference table, the bottom of the fixture should clear the table by 36 inches minimum.
- Number of lights: count them. I once approved a 12-light chandelier that shipped with 10 actual sockets because two were 'decorative only'—and we didn't catch it until the electrician went to install bulbs.
Common mistakes to watch for
Three things I see designers and specifiers overlook:
1. Assuming all 'gold' finishes are the same. Visual Comfort offers at least five different gold finishes: Antique Gold, Champagne Gold, Gold Leaf, Vintage Gold, and Brushed Gold. They look similar in small samples and completely different on a 40" chandelier. Always request a 12" x 12" finish sample before specifying.
2. Ordering 'matching' fixtures from different product lines. The 'Hampton Gold' finish on a ceiling fan won't match the 'Hampton Gold' on a wall sconce from a different series if they're produced in different facilities. (And they often are.) If matching is critical, order from the same production run and request matched batch numbers.
3. Not specifying the driver location. For LED linear chandeliers, the driver can be mounted in the canopy (visible), in a remote junction box (hidden), or integrated into the fixture rail. If the driver is in the canopy and the canopy is small, heat buildup can shorten driver life. Specify remote mount for high-wattage LED fixtures in enclosed spaces.
Per FTC guidelines on advertising and substantiation (ftc.gov), any claim about 'matching finishes' or 'compatible components' should be verified with documentation. Visual Comfort provides material safety data sheets and finish certification on request—ask for them before you specify, not after the install.
One last thing: I only believed in testing every fixture—not just samples—after ignoring that advice and approving a 24-unit order where 4 units had different color temperatures (ugh). A sample test wouldn't have caught it because the sample was perfect. The batch had a production variance. Now every unit gets checked.
